Position Overview
A growing automation company is seeking a Site Administrator to support a large steel plant construction project in Apple Grove, West Virginia. This person will work onsite in the project office trailer and provide administrative, reporting, and office coordination support for the site leadership team and approximately 30 field engineers.
The right candidate will be organized, professional, comfortable using Excel, and able to communicate clearly with engineers, project leaders, vendors, and visitors. This is a strong fit for someone with office administration, project coordination, construction site office, executive support, or education experience who enjoys keeping people and paperwork moving in a busy project environment.
Key Responsibilities
• Maintain the onsite project office space and support day-to-day office organization
• Collect weekly field service reports and timesheet information from field engineers
• Enter, track, and maintain report information in Excel
• Help obtain signatures and keep administrative records organized
• Support office logistics, including coffee, office supplies, deliveries, and general site office needs
• Receive visitors, take messages, and help direct people appropriately within the site office setting
• Support the site manager, project manager, and engineering team with administrative tasks
• Communicate schedule updates, needs, and issues promptly to site leadership
• Help create continuity in the site office so the team has a reliable point of contact during regular business hours
Qualifications
• Prior administrative, office coordination, project support, or site office experience
• Strong working knowledge of Microsoft Excel
• Strong communication skills with the ability to interact professionally with engineers, managers, vendors, and visitors
• Organized, detail-oriented, and able to follow through on weekly reporting responsibilities
• Comfortable supporting a multicultural and international team
• Able to work independently while staying aligned with site leadership
• Local candidates are strongly preferred due to the onsite nature of the role
Preferred Background
• Construction site office experience
• Executive administrative support experience
• Project coordination experience
• Education, teaching, school administration, or similar background requiring organization and authority
• Experience supporting technical teams
• Japanese language skills would be a plus, but are not required
Physical and Site Requirements
• Must be able to work onsite in a construction project environment
• Must be able to lift up to 30 pounds
• Must be able to walk reasonable distances and climb stairs as needed
• Basic site PPE may be required, including hard hat, safety shoes, and safety glasses
• Basic site safety training will be required for site access
• This position is not expected to enter the manufacturing or mill production area
